General Notes
The Magickal Marketplace & Psychic Faire is located at the Boxboro Regency Hotel & Conference Center, 242 Adams Place, Boxborough, MA 01719. This is our second year running two and a half days, and our second year at this venue.
Layout
Arrival
The event is open to the public during the following hours:
-
- Friday: 3:00 PM to 5:00 PM
-
- Saturday: 10:00 AM to 5:00 PM
-
- Sunday: 10:00 AM to 4:00 PM
This includes the vendor, reader, and quiet rooms.
“After Dark” activities (premium ticket required) run on Friday and Saturday evenings from 7:00 PM to 11:00 PM. The vendor, reader, and quiet rooms will be locked and closed by 5pm on both Friday and Saturday, and are not open during After Dark.
Food
A sit-down restaurant is available inside the hotel. In addition, the hotel will provide a concession stand inside the event, located in the bar area next to the Federal Room.
The concession stand will offer:

- Snacks
We have informed the hotel of the need for vegetarian and vegan options.
Concession Hours: 11:00 AM – 3:00 PM on both Saturday and Sunday.
Because of this arrangement with the hotel, vendors may not sell ready-to-eat food at the Faire.
Water stations will be available throughout the event. We encourage you to bring a reusable bottle to reduce waste. Souvenir water bottles and tote bags will be available for purchase at the admissions table.
The Marketplace After Dark
The After Dark experience offers a variety of special activities on Friday and Saturday nights from 7:00 PM – 11:00 PM. These activities require a separate premium ticket.
After Dark events include:

- Candlelit labyrinth walk

- Dance performances

- Drum circle

- Advanced workshops for adults

- The Divination Masquerade Ball
As a vendor, presenter, or staff member, one After Dark admission is included with your event participation. You are welcome to attend any of these activities.
If you’d like additional After Dark tickets for an assistant or guest, they are available for purchase:

Performers and Presenters
Performers
Jeff Wade will be returning to run sound for us again this year. Many of you have worked with Jeff before at PPD, and we’re confident that he can handle anything you need for sound reinforcement.
Our sound setup includes:
-
- 24-channel board
-
- 4 monitors
-
- Various microphones
-
- Basic stage lighting for atmosphere
Some of our performers have their own vending spaces. We will not be running a central table for CD sales. However, if you have a CD to loan us for a display at the registration table, it would be appreciated.
There is room for storing equipment near the stage, and the room will be locked overnight.
Presenters
Workshop rooms include the Cotillion, Director’s, Seminar, and Federal rooms. Please refer to the event map for their locations.
The workshop rooms will be set up as follows:

- The Cotillion and Director’s rooms can be rearranged.
-
- The Seminar room has a fixed configuration.
-
- The Federal room (our movement studio) is a larger space that can be reconfigured as needed.
If you’re not here for the full day, please arrive at least an hour before your scheduled presentation and check in with Catherine upon arrival.
Vendors, Readers, and Volunteers
Vendors
Vendor setup times are:
-
- Friday: 12:30 PM – 3:00 PM
-
- Saturday: 8:00 AM – 10:00 AM
The vendor and reader rooms will be locked overnight, so you can leave your setup in place for the weekend. Your spot number should be in the email sent to you, along with a copy of the event map to help locate your space.
Your space will be marked off with masking tape, and there will be chairs with a sheet of paper showing your vendor name.
Important Vendor Guidelines:
-
- Tables: You must bring your own tables. The hotel does not provide tables for the vendor room.
-
- Electricity: There is no access to power in the vendor room. If you need electricity, bring a battery source. No generators allowed.
-
- Decorations: Do not hang anything on the walls. No balloons, glitter, or confetti.
-
- Table Covering: Tables must be covered to the floor in the front to keep stored items out of sight.
-
- Standing Displays: If your booth is in a center space, keep standing displays under 4′ tall.
Volunteers will be available to watch your booth if you need to step away, but they will not handle sales.
Readers
Readers located in the Reader Room will have a 6′ table and 3 chairs provided by the hotel. You must bring your own table covering.
Decor Guidelines: No hanging anything on the walls, no balloons, glitter, or confetti. No lit candles, incense, or anything requiring an open flame due to hotel policies and allergies.
Reader Sign-Ups:

- A signup table outside the Reader Room will display your name, services, and rates.
-
- Appointment slots will be listed based on the times you provided in your application.
-
- You can mark yourself unavailable for breaks by blocking off time slots.
If you’re a reader located in the vendor area, you will handle your own sign-ups, but your listing will still be displayed at the signup table.
Payment: Readers are responsible for collecting their own fees and making change.
Volunteers
Volunteers help vendors load/unload, assist with setup and breakdown, and fill the following positions during the event:
-
- Admissions Table: Collect money, hand out wristbands, and welcome guests.
-
- Signup Table: Assist attendees with signing up for readings and services.
-
- Vendor Check-In: Check in with vendors, provide assistance, and watch booths if needed.
-
- Security: Monitor event areas, particularly those closed off after hours.
Important Notes: Vendor Check-In volunteers cannot handle sales or collect money while watching a booth. Their role is only to ensure the booth remains secure.
Volunteer Shifts: Shifts are in 2-hour blocks, and schedules are assigned by Deb based on your availability.
If enough volunteers sign up, shifts may be divided further so everyone has time to enjoy the event.
Volunteers who assist with vendor setup (Friday 1:00 PM – 3:30 PM, Saturday 8:00 AM – 10:00 AM) or breakdown (Sunday 4:00 PM – 6:00 PM) are especially appreciated.
Volunteer Perks:

- 2-hour shift: Free daytime admission for the day you work.
-
- 4-hour shift: Free daytime admission plus a free lunch.
-
- 6-hour shift: Free daytime admission, free lunch, and After Dark admission.
-
- 8-hour shift: Free admission to the entire event, with lunch provided on both Saturday and Sunday.
